Welcome to Broken Arrow - 2009 Super Series World Series

2009-07-09

Welcome letter to families traveling to Broken Arrow for the 2009 Super Series World Series; see full story.

Super Series Families,

On behalf of Broken Arrow Youth Baseball (BAYB) I would like to welcome you to the Super Series Summer Nationals/World Series, in Broken Arrow, Ok (the safest city of its size in the country). Our staff and I are looking forward to hosting our 6th Super Series National Championships. We have a great tournament experience planned for you this year.

We begin with team check in at the area’s newest hotel and conference center, the Renaissance, Seville Ballroom on Friday evening (local teams) and Sat morning (July 11th) for teams traveling to the area. Check in is by appointed times which will be sent to your coach separately. At the Renaissance we will have souvenir, week passes, and photography sales along with plenty of time for pin trading. Enter our “Throw out the First Pitch Drawing” winner will throw out the first pitch for the Tulsa Drillers game. Please remember that we MUST have an Original Birth Certificate, Passport, or State Issued ID for each player at check- in, plus 2 copies of their birth certificates.

The mandatory coaches and team representative (mom) meetings (teams are required to have 1 representative at both meetings) will be held at 11:30am at the Renaissance also. Teams will get their game schedules at the coaches meeting.

After the meetings our opening day ceremonies kick off with the Skills Competition at the ball park. Players will compete in 4 events. The winners of each event will receive medals and will be on the field for the National Anthem at the Tulsa Drillers game. Events are as follows:

· ‘Round the Horn: 6 players (full infield); Pitcher throws to catcher (clock starts on the catch), catcher to third, third to second, second to SS, SS to first, first back to pitcher, clock stops on catch. A 1 second penalty will be added for each player that steps in the grass. Fastest time wins.

· Base Relay: 4 players; One player at each base and home. When the player on home moves, the clock starts, they run to first, once touching first they release the runner at first to run to second, touching second releases that runner, etc. clock stops when home is touched by runner from third. Fastest time wins.

· Home run Derby: 2 players (one hitter, one catcher optional); A coach will throw 10 pitches to the batter. Most homeruns hit out of 10 pitches wins.

· Pitching Accuracy: 1 player; Player gets 7 pitches to hit targets in the strike zone. Most targets hit wins.

Stop by our concessions for cold drinks and great food during the competitions.

After the skills competition we are off to the Tulsa Drillers Stadium for the parade of teams. All players, coaches, families, and fans receive a free ticket into the game, compliments of BAYB. The gates open at 4:00pm and the parade begins at 4:30 pm. Due to the Drillers game immediately after the parade, teams will not be allowed to take any items onto the field, such as candy or items to throw into the stands. These items can be distributed at the check-in of teams where players can trade pins.

Players and coaches will then receive a free meal, again compliments of BAYB. Families and fans can take advantage of the Drillers concessions to enjoy a great ballpark meal with the players.

The Tulsa Drillers (AA affiliate of the Rockies) are playing the Corpus Christi Hooks and first pitch is scheduled for 7:05 pm. Remember our drawing winner will throw out the ceremonial first pitch and skills competition winners will take the field with the Drillers for the National Anthem.

Enjoy the game, and we wrap up Opening Day with a great fireworks show, compliments of the Tulsa Drillers. A full day for sure but players can enjoy it all and still be in bed at a decent hour so plan on enjoying all the events Saturday.

Sunday starts Pool Play, but depending on the number of teams we will not start too early. We want everyone to enjoy Saturday’s events. Pool play will consist of 3 games. Some teams may play 2 games on Sunday and some only 1. Teams with only 1 game on Sunday will play 2 on Monday.

Tuesday morning will be the coaches seeding meetings, and Bracket play will begin for some teams on Tuesday afternoon.

Our parks concessions are convenient to all fields and will have a wide variety of drinks and food available. BAYB will supply one 5 gallon cooler of ice water in each dug out for each game. Coaches may bring in 1 small cooler of wet rags for players to stay cool with (this cooler must remain in the dug out during the game.) No other coolers are allowed in the ballpark. Unlike most parks we will not ask you to throw away your hand carried drink at the gate, but we will ask you to return coolers to your vehicle. If you or a family member has a special need for a cooler such as medical supplies, please just let us know ahead of time.

Other park rules will be provided in the coach’s packets but one important one is our City’s policy of no pets at the ballpark. If you are traveling with a pet please make arrangements for them to be taken care of somewhere besides the park. Call us for a list of local boarding facilities. It will be too hot for them in a car. Working (Seeing Eye, etc.) dogs are allowed.

Please visit our website (BAYBonline.com) for directions, hotels, local activities, and more. We will provide coupons to local attractions and restaurants to the team reps at the team representative meeting. Broken Arrow and the Tulsa area offers many fun and family oriented attractions for you to enjoy while you’re here.

If you have any other special needs please let us know and we will do our best to accommodate you.

Sincerely,

David Hays
