BAYB is now looking for our 2010 Field Maintenance Contractor. Read Full Story for Details and Bid Process.

BAYB will be accepting Bids for the 2010 Baseball Season Field Maintenance conctract. 

Bids MUST be submitted in writing to the baseball office either by email, bayouthbaseball@valornet.com  or via fax at 918-455-7229.

The Bids should outline the below scope of work and should include a bid price for this 2010 contract. 

Bids are DUE Dec. 14th.  and meetings will be held to discuss and answer questions on Dec. 15th, 16th, and 17th.  A final decission should be made by Dec. 18th.

Scope of Work:

BAYB runs several leagues and tournaments a year (Spring, Summer, and Fall). We maintain 16 fields owned by the City of BA. Contractor is to provide services as contracted and BAYB will be the Contractors point of contact with the City.

Ten of these fields have dirt basepaths and grass infields and 6 of the fields have grass infields with dirt cut outs at each base. We schedule 2000 to 2500 games a year typically over about 120 game days. Our months of play are Feb-Nov with heaviest dates April - June (approx. 90 game days) for Spring leagues.  Summer and fall leagues drop to 1 or 2 game days a week.

Below is an outline Scope of Work, which is subject to minor changes through discussions with contractor to develop the 2010 Field Maintenance Contract.

Indian Springs Sports Complex – Maintenance Outline

General Maintenance – Fields
• Mow infields 3 times a week, Mon. Wed. & Fri. @ 2.5" (or as specified by City of BA) mowing height with mower no bigger than 48 inches.
• Water infield dirt to keep moisture in and dust down.
• Groom all Infield Dirt every Game Day
• Rake or drag base paths, home plates and pitchers mounds (using hand drags & hand rakes).
• Chalk batter’s box & foul lines (4” chalk line)
• All fields must be playable year round.
• Building and repairing mounds as needed.
•  Rake bullpen mounds as needed.

Extensive Maintenance – Fields
• Edge grass lines 2 times a month or as needed (base paths, mounds, home plates and back edge of infields)
• Keep the dirt playing surface level.
• Condition dirt playing surface with infield conditioner.
• Remove and maintain lips.
• Remove weeds & grass from dirt playing surfaces and bull pens.
• All materials needed for maintenance on fields: Chalk, dirt, conditioner, quick dry, sod, bases, to be paid for by BAYB and used only with the approval of Dave Hays or Tom Burke.

Equipment Which May Be Supplied by BAYB (if needed)
• Infield Pro – Groomer with Coco Mat
• Sod Cutter
• Tractor (box blade, brush hog, roller, & tiller)
• Cushman Truckster (with dump bed)
• Toro Workman
• Roller for Infield dirt & sod

• 1 – 6X4 Mat drags for groomer
• 1 – Chalker
• 2 – Infield rakes
• 2 – Shovels
• 4 – Garden rakes
• 2 – Hand water pumps
• 1 – Electric water pump
• 1 – 500’ string line on reel for chalking
• 1 – 200’ tape
• 2 – Clean out tools for bases

Contractor Required Equipment
Mowers (less than 48" walk or stand behind)
Other hand tools as needed

General Maintenance – (minimum on BAYB equipment)
• Check Oil
• Check Tire Pressure
• Check and clean air filters
• Check for loose parts
• Grease daily or as needed
• All BAYB equipment & buildings must be cleaned once a week or as needed
• ALL DAMAGE TO BAYB EQUIPMENT DUE TO ABUSE OR NEGLICT BY CONTRACTOR WILL BE REPAIRED AT THE CONTRACTORS EXPENSE

Contractor Minimum Knowledge Required
• Proper use of infield conditioner and Quick Dry
• The understanding of drying a field out without damaging field
•  Pumping water off fields when needed
• Conditioner only on wet areas where water was standing with no sun
• Use quick dry only at appropriate time (e.g. Minutes before games only on wet spots)
• Keep fields conditioned throughout the year with infield conditioner (till in 1 – 3 inches on application)
• Maintenance of equipment
• Building and repairing mounds
• Proper mowing techniques

Contractor Cost Responsibility
• Contractor is responsible for any cost to operate BAYB equipment (gas, oil, grease, etc.)
• Contractor responsible for all labor cost needed to perform field maintenance contract
• Contractors MUST carry his or her own insurance and workmen’s comp on ALL employees (BAYB must maintain a copy of both)

Below is an Option to Contract; BAYB Requires a Separate Bid for Trash Service (bid for trash service must be included and separate from other costs):

Trash Clean-up
• Pick up all trash and debris on and around fields and in parking lots.
• Dump barrels and replace liners every game day or as needed.
• Barrels power washed twice a month or as needed
• Blow or sweep out under bleachers once a week or as needed. (Contractor to supply blower)
